Disney is hiring a VFX Production Coordinator to join its Live Action VFX team in Burbank, CA. This role sits at the operational center of the VFX pipeline, managing vendor relationships, contract logistics, shot tracking, and delivery schedules across a slate of feature film productions. About the Role
The VFX Production Coordinator reports directly to the VP of VFX at Walt Disney Studios and supports the full arc of post-production workflow across assigned films, from turnover through final delivery. Day to day, this person is managing the VFX database, coordinating vendor reviews, tracking digital submissions, and keeping the production calendar current as shot counts and delivery dates shift. It’s a high-volume desk that requires someone who can hold a lot of moving pieces without dropping any of them.
Key Responsibilities
- Evaluate weekly production reports and run comparative analyses of shot progress against contracted turnover and delivery dates, maintaining internal tracking databases throughout the VFX pipeline.
- Draft vendor contracts and agreements for key VFX personnel by liaising between the VFX Producer, studio executives, and attorneys, reviewing bids, payment schedules, and prior contract language.
- Manage and update a worldwide database of VFX Supervisors, Producers, and vendors, sourcing information from resumes, vendor reels, trade papers, and ongoing correspondence.
- Coordinate VFX review sessions between studios, filmmakers, and vendors, taking notes during reviews and tracking shot progress to keep assigned feature film productions on schedule.
- Manage digital submission tracking to and from vendors across prep, production, and post-production, including shared folder organization and change order documentation.
- Handle publicity and marketing requests from vendors, support awards submissions for assigned films, and apply AI toolsets to improve workflow efficiency across the department.
What You Bring
- At least one year of experience in film production and/or visual effects, ideally on a studio or vendor desk.
- Proficiency with FileMaker Pro, Aspera, Box, and Airtable is strongly preferred for this VFX Production Coordinator position.
- Familiarity with SAP, Concur, and studio travel and expense procedures is a plus.
- Strong written and verbal communication skills, with the ability to interface professionally with vendors, executives, and legal teams.
- Availability to work evenings as production schedules require, with demonstrated experience managing a high-volume administrative desk.
