ILM Sydney, part of Disney, is hiring a Production Coordinator to join their VFX production team in Sydney, Australia. This role sits at the centre of discipline-level coordination within a VFX pipeline, managing schedules, shot tracking, and crew communication to keep specific artist departments hitting their targets across a live production. It suits a mid-level production professional who has worked inside a VFX or animation studio and knows how to read a schedule, run a turnover, and keep a team aligned without being asked twice.

About the Role

Reporting to the VFX Producer and Production Manager, the Production Coordinator owns the day-to-day operational rhythm for assigned artist disciplines, working directly within ShotGrid to track shot progress and keep data accurate for the full production team. This is a hands-on post-production workflow role, not a generalist admin position. On any given day you might be running a shot review, chasing a client delivery milestone, troubleshooting a view station issue, or writing up a weekly synopsis for production leadership.

Key Responsibilities

  • Manage scheduling and assignment tracking for specific VFX disciplines in ShotGrid, ensuring shot data is current and visible across the production team.
  • Run turnovers for discipline crews, making sure every assigned artist has accurate and complete information before work begins on shots or assets.
  • Serve as the primary communication point between discipline supervisors, leads, and the broader production team, providing real-time updates on priorities and reschedules.
  • Monitor delivery targets against internal milestones and external client deadlines, flagging risks to leadership before they become problems.
  • Organise dailies and shot reviews on behalf of supervisors, capture feedback, and enter decisions into the tracking system.
  • Supervise and train assigned Production Assistants, delegating tasks and managing workload distribution across the team.

What You Bring

  • One to three years of experience working inside a VFX or animation production environment, with a solid grasp of post-production workflow and terminology.
  • Hands-on experience with ShotGrid or a comparable production tracking tool used in a VFX pipeline context.
  • Technical literacy across Linux, Windows, and Mac environments, including the ability to run basic scripts and resolve view station setup issues.
  • A bachelor’s degree in Film, Art, Communications, or a related field, or equivalent credits from industry experience.
  • Full Australian working rights, which are a firm requirement for this position.
