Day to day, this means keeping tracking software current, managing files across shared drives, scheduling production meetings, and making sure the right information reaches the right people at the right time. The role sits between production management and the creative departments, so clear communication and tight organization are the actual job.

Key Responsibilities

  • Coordinate and schedule production meetings across front end departments including Story, Script, and Visual Development, and take accurate notes for distribution to the team.
  • Maintain data entry and status tracking in Shotgrid, keeping the production pipeline current for the Producer and Production Manager.
  • Organize production artwork files and documentation within established directory structures on Google Shared Drives so assets are retrievable by the broader crew.
  • Handle travel coordination, expense reports, and departmental supply orders on behalf of production management.
  • Field requests from Directors, Department Heads, and crew members, directing inquiries internally and externally to the correct department.
  • Keep supervisors advised with accurate, timely updates and flag issues before they affect the production schedule.

What You Bring

  • Previous work experience in an animation studio office or on a CG series production at the coordinator level or equivalent.
  • Working knowledge of the pre-production and CG series pipeline, including how Story, Editorial, and Visual Development departments interact.
  • Proficiency with Shotgrid, Google Shared Drives, Photoshop, Microsoft Word and Excel, and comfort working across Mac and PC operating systems.
  • Ability to manage multiple priorities across departments without losing accuracy in tracking or file management.
  • A high degree of discretion when handling production materials, personnel matters, and confidential project information.
