The National Arts Centre in Ottawa is hiring an Executive Assistant to support the President and CEO directly out of the Executive Office. This role sits at the center of institutional operations, managing the kind of high-volume executive coordination that keeps a major performing arts organization moving through its production calendar, board commitments, and stakeholder engagements. It suits a seasoned administrative professional who has worked in arts, entertainment, or media environments where discretion, scheduling complexity, and executive readiness are non-negotiable.

About the Role

The Executive Assistant works within the Executive Office, reporting to the Executive Office Manager and Corporate Secretary, and serves as the primary operational support for the CEO’s schedule, communications, and partner engagement. A typical day involves managing a complex calendar against competing priorities, preparing briefing materials ahead of meetings, and coordinating domestic and international travel logistics. This is a full-time, on-site position at the National Arts Centre in Ottawa, five days per week, with occasional early morning or evening hours tied to live arts programming and events.

Key Responsibilities

  • Manage the President and CEO’s calendar across internal leadership meetings, external partner engagements, and arts production events, ensuring conflicts are resolved before they land on the CEO’s desk.
  • Coordinate briefing packages, background materials, and meeting agendas that allow the CEO to walk into high-stakes conversations fully prepared.
  • Organize domestic and international travel itineraries, including bookings, accommodations, and post-trip expense reporting.
  • Act as the primary point of contact for senior internal and external stakeholders reaching out to the Executive Office, maintaining professional and timely communication throughout.
  • Track follow-through on key commitments and initiatives, keeping the CEO informed of upcoming responsibilities and ensuring action items close properly.
  • Handle sensitive correspondence, scheduling matters, and confidential organizational information with sound judgment and full discretion.

What You Bring

  • Proven experience in a senior executive assistant or office management role within an arts, entertainment, media, or performing arts organization.
  • Demonstrated ability to manage complex, multi-stakeholder calendars in a live-event or production environment where schedules shift quickly.
  • Experience supporting C-suite executives, including travel coordination and board or partner communications.
  • Fluency in professional communication standards appropriate to a national arts institution with government and private sector relationships.
  • Comfort working full-time on-site in a high-trust environment where in-person presence is operationally essential.
