This role sits inside the VFX pipeline, supporting Supervisors, artists, and Producers through the full lifecycle of visual effects shot delivery on film and television productions. About the Role

The VFX Production Coordinator works within Outpost VFX Limited’s production department, embedded in the day-to-day workflow that moves shots from brief through to final delivery. On any given day, that means managing the flow of information between internal teams and external clients, keeping databases current, and making sure nothing falls through the cracks during client reviews or turnaround cycles. The role is built for someone who understands how a VFX pipeline operates and wants to grow within a team that invests in its coordinators.

Key Responsibilities

  • Coordinate directly with VFX Supervisors and Producers to track shot progress and flag delivery risks before they become problems.
  • Organize and schedule client calls, preparing agendas and ensuring the right internal stakeholders are briefed in advance.
  • Take detailed production notes during client reviews and distribute accurate recaps to the relevant artists and department leads.
  • Maintain and update Shotgun databases, keeping shot status, versions, and notes current throughout the post-production workflow.
  • Support artists with administrative needs that affect their ability to hit deadlines, including version tracking and asset management coordination.
  • Act as a reliable point of contact between the internal VFX team and external clients, managing expectations clearly and professionally.

What You Bring

  • A minimum of one year of experience working inside a VFX production environment, on episodic television, feature film production, or comparable project types.
  • Working proficiency in Shotgun, used actively for shot tracking and production management rather than as a casual reference tool.
  • Solid command of Microsoft Office across the full suite, particularly for scheduling, documentation, and reporting tasks.
  • Familiarity with how VFX departments are structured and how information flows between production, supervisors, and artists.
  • Strong attention to detail when maintaining databases and producing written notes that others will rely on for decisions.
