This role sits at the center of film development and acquisitions operations, keeping executive schedules, stakeholder communications, and project workflows moving across a slate that spans arthouse features, commercial releases, and international co-productions. It suits someone who has already worked in a support role inside a studio, agency, or production company and knows how to read a room, hold confidences, and stay three steps ahead without being asked.
About the Role
The position operates within A24’s film division, meaning the executives you support are actively engaged in development, financing, distribution strategy, and filmmaker relationships across a feature film production slate that runs from early-stage projects through theatrical release. Day to day, this looks like managing complex calendars across time zones, coordinating domestic and international travel for festival runs and business trips, preparing briefing materials before high-stakes meetings, and serving as a reliable point of contact for filmmakers, investors, and industry partners. You work alongside a team of executive assistants and coordinators, so lateral communication and schedule alignment are a constant part of the job.
Key Responsibilities
- Manage all aspects of executive scheduling, including high-volume calendar coordination across internal teams, external partners, and film industry contacts in multiple time zones.
- Arrange end-to-end domestic and international travel, covering flights, accommodations, ground transportation, visa logistics, and detailed itineraries for festival attendance and business travel.
- Prepare briefing documents, background research, and presentation materials ahead of meetings with filmmakers, financiers, and distribution partners.
- Process contracts, expense reports, and sensitive business documents with full discretion and accuracy, using tools including Google Workspace and expense platforms such as Ramp or Expensify.
- Track action items and deliverables across ongoing film projects and executive initiatives, flagging deadlines and ensuring timely follow-through without waiting to be reminded.
- Coordinate meeting logistics, off-sites, and special events, working closely with coordinators and cross-functional teams to keep schedules aligned across the film division.
What You Bring
- At least two years of executive assistant experience supporting senior leadership, preferably inside a studio, production company, talent agency, or entertainment business.
- Proven ability to manage competing priorities across multiple stakeholders in a high-volume environment without dropping details or losing composure.
- Advanced proficiency with Google Workspace and Microsoft Office, plus working knowledge of expense management tools such as Ramp or Expensify.
- Strong written communication skills, including the ability to draft correspondence and compile briefing materials that reflect an executive’s voice accurately.
- A working knowledge of the independent film industry, including how studios, financiers, and filmmakers interact across the development and distribution process.
