About the Role
The Clearance Coordinator works directly alongside the Animation Clearance Specialist, supporting Errors and Omissions insurance requirements across Sony Pictures Animation’s production slate. Day to day, this means tracking clearance requests in ShotGrid, preparing reports tied to script revisions, and keeping documentation current as productions move through their stages. The role touches everything from permission letters and release agreements to animatics review and promotional restriction memos.
Key Responsibilities
- Manage clearance tracking in ShotGrid, including logging incoming requests, uploading reference materials, updating item statuses, and generating reports for production teams and internal stakeholders.
- Draft permission request letters and legal release documents for review and execution, then monitor follow-up until resolution.
- Prepare and update script clearance reports and supporting memos in response to script revisions across multiple concurrent animation productions.
- Submit clearance requests to the Research Department, gather supporting materials, and review executed agreements for accuracy and completeness.
- Partner with Accounting to support billing, invoice processing, and payment of licensing and research fees tied to clearance activity.
- Review animatics and related materials including behind-the-scenes content, publicity assets, and merchandising materials on an as-needed basis.
What You Bring
- Prior experience in script clearance, entertainment law, or a legal affairs role within a film or television production environment.
- Working knowledge of ShotGrid and comfort managing project documentation across a multi-production workflow.
- Familiarity with Errors and Omissions insurance requirements and how they shape clearance decisions in the animation studio context.
- Strong written communication skills, specifically for drafting legal correspondence and permission agreements.
- Ability to manage competing deadlines across multiple productions without losing accuracy in documentation or tracking.
