Talent Coordinator

Disney’s ILM Sydney is hiring a Talent Coordinator on a 12-month contract based in Sydney, Australia. This role sits within the talent management function at Industrial Light and Magic, supporting VFX crew and capacity management across the studio’s feature film and visual effects pipeline. About the Role

The Talent Coordinator works directly alongside talent managers at ILM Sydney, sitting at the intersection of production, HR, and studio operations. Day to day, this person keeps crewing databases current, supports artist onboarding and offboarding, and coordinates the internal processes that keep a VFX studio running between productions. It is a support role with real visibility across departments including production, editorial, art, finance, and facilities.

Key Responsibilities

• Maintain and update crewing and capacity spreadsheets and databases to reflect live staffing across the VFX pipeline.
• Manage the film credit database, reviewing artist names with talent managers to ensure accuracy across production records.
• Coordinate talent meetings, prepare agendas, take notes, and distribute follow-ups to relevant departments.
• Facilitate timecard, TOIL, and leave processes across production tools, keeping records clean and compliant.
• Support new artist onboarding in partnership with HR and training teams, covering everything from seating to system access.
• Organise and host studio social events, contributing to a positive working environment across the ILM Sydney team.

What You Bring

• Experience in an HR, production coordination, or related role within the film, television, or animation studio environment.
• Working knowledge of VFX production workflow is an advantage, including familiarity with how crew and capacity are tracked across projects.
• Confident use of Microsoft Word, Excel, and Google Suite, with proven calendar management across multiple stakeholders.
• Strong written and verbal communication skills, with the ability to turn around reports and administrative tasks quickly when priorities shift.
• Proven problem-solving skills and the ability to work across departments including production, finance, and facilities.
