Production Coordinator

Company 3 is hiring a Production Coordinator for its Vancouver, BC post-production facility, working an afternoon and evening shift from 12:00pm to 8:00pm PT. Key Responsibilities

• Act as the primary client contact during afternoon and evening hours, managing expectations and communicating session updates to both clients and internal departments throughout the shift.
• Create and finalize daily billing for all operators, ensuring invoicing is accurate and submitted in a timely manner to support the producing team’s project tracking.
• Oversee evening in-studio and virtual post-production sessions, coordinating hospitality and making sure all session details are in place before clients arrive.
• Coordinate facility resources and personnel scheduling with internal operations, adjusting priorities as the daily schedule changes across feature and episodic projects.
• Greet and escort clients to their sessions, serving as the on-the-ground interface between client production teams and Company 3 departments including color and finishing.
• Keep the producing team updated on project status across all assigned projects, flagging issues before they affect deadlines or deliverables.

What You Bring

• Previous experience in a client-facing post-production environment, with working knowledge of the full post-production workflow from file-based dailies and offline editorial through to final mastering and delivery.
• Strong organizational skills and the ability to manage competing deadlines without losing accuracy on billing, scheduling, or client communication.
• Proficiency in MS Word, Excel, and Outlook, with solid keyboarding skills and comfort working in Slack or MS Teams.
• Familiarity with Xytech MediaPulse or comparable post-production scheduling software is a plus.
• Availability to work the afternoon and evening shift reliably, with flexibility for overtime and weekend coverage when production demands it.
