The Role
The Production Assistant is the logistical engine of Vuly’s Content Team. Reporting directly to the Lead Producer, this role provides end-to-end administrative and organisational support across the full production lifecycle: photoshoots, video shoots, and brand events.
By owning the meticulous details of scheduling, documentation, and on-site logistics, this role ensures the Lead Producer is freed from administrative minutiae to focus on:

High-level creative execution in partnership with the Creative Director.

Strategic project oversight and budget management.

Directing the crew and talent to achieve world-class visual outputs.

Responsibilities
Administrative & Financial Support

Production Planning: Assist the Lead Producer in arranging meetings, distributing agendas, and tracking action items to keep projects moving.

Documentation Ownership: Draft shooting schedules, distribute call sheets, and ensure all Talent Release Forms and NDAs are signed, filed, and audit-ready.

Financial Alignment: Support the Lead Producer with expense tracking and receipt collation. Manage initial invoice processing for approval, ensuring all spend falls within the established budget.
Pre-Production & Logistics

Resource Coordination: Under the guidance of the Lead Producer and Creative Director, book and confirm external crew, talent, and locations.

Hospitality & Travel: Manage catering (including dietary requirements) and coordinate all logistics for local and “away” shoots, including transport, accommodation, and gear freight.

Focus Group Management: Act alongside the Lead Producer as a primary event coordinator: organising participant lists, managing on-site testing logistics, and the bump-in/bump-out of the event space.
On-Set & Field Execution

Production Assisting: Act as the Lead Producer’s primary support on-set; managing the run sheet, monitoring the clock, and assisting with the management of child talent and families.

Stakeholder Liaison: Serve as a central point of contact for the in-house videographer and contractors (HMU, Wardrobe, Lighting), ensuring they have the schedule and resources needed to perform.

The “Vuly” Factor: Serve as the “Runner” for last-minute errands, manage the loading/unloading of gear, and work closely with the Internal Operations Team to ensure prototypes and unit supplies (gazebos, generators, etc.) are correctly deployed and locations are left in pristine condition.
