Job description

Please note this is not currently an open role but we would like to hear from people who are available and interested in joining Framestore. Also, please be aware when applying that this role will be based in our London office for a minimum of 2 days a week so applicants must be within a commutable distance. Due to the nature of this role we are only able to accept applications from those living in and with right to work in the UK.

The Visualisation PA is a motivated and proactive team player with strong organisational and communication skills. Operating across multiple areas of Pre-Production including Previs, Postvis, Realtime and Virtual Production, you will play a crucial role in supporting Producers, production teams and Supervisors on a day to day basis.

Responsibilities:

  • To support management, production, crewing and show production teams with routine departmental and show administration tasks
  • Manage departmental, team and show calendars (where required). Working with production / supervision teams, finding times and rooms and booking in new meetings
  • Keep an eye on calendars for the following 2 weeks to catch clashes and conflicts
  • Day to day liaison with management, production teams and departments
  • Organising and booking show Dailies and routine meetings and sending reminders
  • Take meeting notes that clearly indicate action points and distribute to teams including adding to Shotgun as required
  • Download and Upload material from clients and other collaborators including bidding packets
  • Attend client meetings as required for notes or admin support
  • Prepare meeting rooms and equipment for various meetings
  • Update relevant department and show groups with new starters, and remove leavers
  • Welcome crew to shows. Send out welcome email, including show specific welcome pack, to new starters
  • Follow up on artist tasks, report to Coordinator or LP and update Shotgun statuses as requested
  • Follow up on Jira Tickets and summarise priority and outstanding tickets
  • Take and distribute meeting notes from production meetings
  • Familiarise yourself with all aspects of pre-production, basic camera movement terminology, shot types and framing and workflows in visualisation and virtual production
  • Maintain a secure list of all video conferencing and review or file sharing accounts that can be shared with production
  • On a show by show basis:
    • Run client deliveries using a list of materials created by the Coordinator and run through the pipeline to get Client-friendly versions
    • Get submission notes from the relevant supervisor/s
    • Package everything up and send to the Data team to upload
    • Send submission email to relevant Clients listing material sent, and purpose
    • Forward Client submission emails to MCR to download material
    • Maintain tracker or SG pages with incoming/outgoing data
    • Forward paths onto relevant team members to ensure everyone is aware of incoming material
    • Chase weekly targets and report to the show Coordinator or LP
    • Create and maintain Dailies Playlists
    • Create and maintain Client Send Playlists

Job requirements

  • Clear written and verbal communicator
  • Able to work well under pressure of competing demands
  • Excellent organisational and planning skills
  • Strong computer skills especially MS Office inc. Excel, Google suite inc. email, calendars, docs and sheets including how to use and create templates
  • Ability to identify calendar and resource clashes and communicate with management and show production
  • Inquisitive about technical processes and desire to learn new workflows
  • Diligent with follow through of action items
  • Previous experience as a Production or Personal Assistant
  • Some knowledge or understanding of the visual effect or post pipeline and workflow
  • Previous experience using a production database e.g. Shotgun

Desirable Skills:

  • Previous experience in a Production Assistant role
  • Some knowledge or understanding of visual effects or post-production
  • Previous experience using database, e.g. Shotgun or a similar production orientated tool
