Job Description

We are seeking an organized and tech-savvy Executive Assistant to support a busy artist and producer. This part-time role involves:

  • Calendar Management: Scheduling and coordinating appointments.
  • Email Correspondence: Managing and drafting emails.
  • Written Work: Assisting with light written tasks such as drafting emails, bios, synopsis etc
  • Local Errands: Handling various errands (post office, bank, shopping).
  • Filing Systems: Maintaining digital and paper filing systems.
  • Document Creation: Creating content for various purposes (ex. event invite, pitch deck, film treatment, social media post, etc)
  • Administration: submitting applications for awards or funding, research about funding opportunities, taking notes during meetings, etc

Qualifications.

  • Highly Organized: Excellent attention to detail, with the ability to manage multiple tasks and priorities efficiently.
  • Tech Savvy: Comfortable with Google Workspace, spreadsheets, file conversions, Canva, and other digital tools.
  • Good Eye for Design: An aesthetic sense that allows for the creation of visually appealing content.
  • Emotional Maturity: Able to navigate potentially frustrating situations without taking things personally, maintaining strong, professional relationships.
  • Adaptability: Able to remain flexible and composed in a dynamic work environment, confidently managing shifting schedules, varying workloads, and high-pressure situations with professionalism and self-advocacy
  • Industry Knowledge: Familiarity with the film and TV industry is a plus.
  • Knowledge of GTD Method: Familiarity with the Getting Things Done (GTD), or other project management method is a plus

This position is initially to cover a maternity leave, with the opportunity for growth within the company beyond the first year. You will have a two to three month overlap with the outgoing assistant.
