We are seeking an Administrative Assistant to support the SVP in Creative Advertising within Sony Pictures Entertainment. Interest in Creative Advertising with 2-5 years of administrative assistant experience is a must.ResponsibilitiesManages executive’s calendar, schedules conference rooms, and coordinates meeting requests and appointmentsPrepare for meetings which includes conference room prep, agendas, notices, resolutions, and distribution of pertinent documentsTracks and organizes all team assets – print, A/V materials, finishes, etc.Accurately tracks and maintains budgets and cost reports for the creative team and keeps a running tally of spent and committed breakdowns per titleOrganize binders, folders, and collecting current documents to facilitate the flow of information between departments and key stakeholders (electronic and hard copy)Prepares files and materials for territory review and feedbackScreens and responds to incoming calls and correspondenceContribute to creative brainstorming sessionsPerforms administrative duties such as updating databases, lists, filing, processing mail, copying, etc.Working with the larger team to keep on top of deadlines and asset deliveryFacilitating/prioritizing action items and tasks for executiveProcessing expense reports and travel arrangements for the teamMiscellaneous duties as requiredQualifications:Minimum 2 years of experience in an executive assistant capacity, experience in supporting a Senior level Executive is preferredEntertainment or corporate experience preferredAbility to be flexible, frequent overtime likely required and work well in an environment where needs and priorities are subject to much revisionExcellent computer skills specifically Word, Excel, Outlook. Working knowledge of PowerPoint, Keynote, audio, video, and image files.Excellent communication skills – written and oralDemonstrates high problem-solving skills and be able to proactively troubleshootTo perform efficiently, accuracy and attention to detail requiredMust have personability interacting with internal and external executives, as well as high-profile filmmakers and talentMust be able to work independently and multi-task with easeMust be able to work well under pressure and with tight deadlinesIdentify work priorities and requirements up-front and make timely decisionsDemonstrates the ability to work with all levels of management.Demonstrates the ability to work as part of a team including contributing beyond your range of duties and experience.Must be able to exercise initiative, professionalism, and confidentiality
