Position Summary
The Production Coordinator, Technical Events is responsible for the planning and detailing technical and labour requirements for the company’s boutique properties, including reviewing all quotes to manage and organize the equipment for jobs, booking labour, and keeping onsite equipment inventory organized and detailed. They will also be assisting in the organization and management of the company’s internal labour booking system.
This individual will be working at the company’s head office alongside the operations and sales teams to plan and execute events. This individual must be self-motivated, open-minded, creative, detail-oriented, have a strong understanding and interest in technology, and be able to talk to clients on the phone, by email, and in person.
With the continuous changes of restrictions surrounding COVID-19, the successful candidate has the ability to work remotely (from home) if required, with the understanding that their primary workplace is the company’s main office.
Job Duties
- Maintain professional conduct and appearance at all times
- Maintain a cooperative and sensitive teamwork attitude when dealing with clients
- Book and manage labour for events via Lasso
- Create technical documentation including floorplans and notes
- Create schedules and agendas
- Create and organize event folders and paperwork for crews and operators
- Collect, organize, and distribute event agendas, run of shows, and content from clients
- Assist with creating and organizing pull sheets
- Assist with creating and managing rental purchase orders
- Assist senior production team with larger events
- Provide and maintain a positive relationship with all clients, vendors, employees, and independent contractors through effective communication
- Attend company meetings as required
- Other duties as required by company
Requirements
- Post-secondary education in event production or event management
- Minimum 1 year experience in event management or in a similar position
- Communicating orally and written at a professional working proficiency level or greater in the English language
- Knowledge of lighting, audio, video, staging, and rigging systems
- Proficiency with Microsoft Office and Google Suite
- Ability to manage multiple requests and rapidly changing priorities in a fast-paced environment
- Capable of dealing with problems quickly and effectively
- Outstanding organizational skills
- Flexible customer service oriented attitude with a commitment to supporting a variety of events
- Ability to work independently as well as within a team environment
- Knowledge and experience of Flex Rental Solutions is an asset
- Knowledge and experience of Lasso Workforce Management Software is an asset
- Knowledge of current Safety Guidelines for the Live Performance Industry in Ontario is an asset
- Knowledge of current municipal, provincial, and federal workplace health & safety regulations is an asset
- Knowledge of current Fire and Building Codes is an asset
- Knowledge of current ESA, AODA, OHSA is an asset
- Valid driver’s license and vehicle is an asset
