Production & Studio Coordinator

About Yacht Club
Yacht Club is a commercial production company, post-house, and animation studio located in Brooklyn. Our primary focuses are tabletop, lifestyle, CGI, and VFX based productions. Our facility contains a shooting kitchen, tabletop studio, and edit suites. We produce shoots that take place both at our in-house studio, and on location.
Job Overview: The role of the Coordinator is to assist the Producer in the pre-production and production process of each assigned project, with a focus on logistics including payroll, transportation, talent coordination, and optimizing project organization. A successful Coordinator will take initiative to intake and organize information from the Producer or client, maintaining a master project folder and calendar for the team. The role will involve corresponding with internal team members, freelance crews, and vendors, and occasionally communicating with clients regarding logistical matters (such as sending meeting invites and call sheets).
Additionally, the Coordinator will be heavily involved in preparing the studio for shoots, organizing gear and supplies for load out for location shoots, inventorying and ordering office supplies, and communicating office/studio needs to the Producer and Head of Operations.
We’re a small but growing company so there is room for growth in our production department if desired. Previous experience as a commercial Coordinator or Stage Manager would be valuable in this position, as well as experience as a commercial Office PA.
Responsibilities and Duties:
- Coordinating pre-production information and tasks
- Serving as on-set production coordinator during production
- Building and sending call sheets / Pre Production Books
- Corresponding with vendors and crew
- Arranging equipment pickups and returns; coordinating with PA’s
- Coordinating transportation for shoots
- Intaking timecards for crew payroll paperwork and timecards
- Assisting the EP and Producer in job wrap outs
- Preparing the studio, equipment, and supplies for shoots
- Arranging and receiving vendor deliveries / product shipments from clients
- Inventorying and ordering office supplies
- Opening and closing the studio on shoot prep and shoot days
- Occasionally making production runs
Qualifications:
- 1-3 years of professional film/video production in the Production Office or on set, OR 2-3 years of experience as a Stage/Studio Manager or similar
- Strong organizational skills
- Ability to multitask between multiple projects
- Experience on commercial productions is valuable
- Familiarity with commercial production accounting is helpful but not required
- Proper email etiquette
- Valid Driver’s License is preferred but not required
Job Type: Full-time
Pay: $50,000.00 – $70,000.00 per year

COVID-19 considerations:
Further COVID safety measures are in place during production, including on-set COVID Safety Officers, crew screenings, and testing for certain cast and crew depending on client guidelines and risks. Our full time team in the office is fully vaccinated.
