This position currently supports a Director and Sr. Manager on the team.

What You Will Do

Every day as an Executive Support Professional is different! On any given day you might:

  • Orchestrate complex calendar management based on leader and team priorities

  • Prioritize, track and follow through on critical action items and team needs

  • Manage invoices and purchase orders

  • Coordinate onboarding/offboarding of team members

  • Order supplies and equipment

  • Prepare and/or proofread reports to be shared with leaders and stakeholders

  • Collaborate on projects by conducting research, writing and fact-checking

  • Schedule appropriate conference rooms, meetings and video chats, activating VTC logistics as needed

  • Track team time off using Labor Reports in SAP

  • Proactively resolve problems and pitch in to help broader team and administrative support peers

  • Handle occasional Travel & Entertainment booking and expenses for team leadership

Required Qualifications & Skills

  • At least five years of experience supporting managers and their calendars

  • Strong organizational and follow-through skills, and an orderly and meticulous approach with the ability to handle multiple work streams simultaneously

  • A professional demeanor, strong work ethic, positive outlook, flexibility, and an enthusiastic, can-do attitude

  • Superior written and verbal communication skills, including clean grammar and a robust vocabulary

  • Ability to multi-task and prioritize deadlines/deliverables

  • Confidence to proactively identify problems or opportunities then recommend and introduce solutions

  • Complete reliability handling confidential information

  • A calm head and utmost professionalism at all times

  • Ability to build solid inter and intra-team relationships

  • Proficiency with technology in both VTC meeting coordination and computer skills including Zoom, Microsoft Word, Excel, Outlook, Power Point and SmartSheet

  • Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed

Preferred Qualifications

  • Previous experience supporting a Director or above

  • Proficiency with Visio, SAP, and Concur

Education

  • Required : High school degree

  • Preferred: Bachelor’s degree
