As an Administrative Assistant for our Movie Industry Rentals division, you will play a crucial role in supporting the day-to-day operations and ensuring the smooth execution of vehicle rentals to the film and television industry. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
Coordination and Scheduling:

- Manage rental reservations, ensuring accurate production account information for the proper billing of all rental vehicles
- Coordinate with the production rental team for all needed information to open and close all rental agreements.
- Documentation and Record-Keeping:
- Maintain detailed and organized records of rental agreements, contracts, and production details.
- Prepare and process necessary documentation for vehicle rentals, including insurance and billing information.
- Communication:
- Serve as the primary point of contact for production coordinators and accounting departments in relation to billing.
- Communicate effectively with internal teams to ensure seamless coordination of vehicle logistics.
- Customer Service:
- Provide excellent customer service by addressing inquiries, resolving issues, and ensuring client satisfaction.
- Proactively anticipate and address potential challenges in the rental process.
Previous administrative or coordination experience, preferably in the film or vehicle rental industry.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and other relevant software.
- Ability to adapt to changing priorities and work effectively under pressure.
- Strong personality that has no issues staying on task without direct oversight.
- Must enjoy working independently as well as in a team.
